General terms and conditions
RAI Hotel Services (business unit of RAI Amsterdam B.V.; Trade Register number 34192575) hereafter mentioned as RAI Hotel Services; is your booking agent for hotel reservations made during this event. RAI Hotel Services offers rooms exclusively for this event and therefore beholds the right to cancel any reservations for which a visit to this event is not the main goal.
From the point at which you make your reservation, RAI Hotel Services acts solely as an intermediary between you and the hotel. RAI Hotel Services automatically sends you a confirmation email for and on behalf of the hotel and, subsequently, transfers the details of the reservation to the relevant hotel(s). You can expect to receive the confirmation within minutes after making the booking. If you do not receive a confirmation within 24 hours, you should contact RAI Hotel Services.
Payment / Guarantee policy
The final hotel bill will be settled in the hotel during your stay. Your valid credit card details are required to guarantee the reservation only.
In case the customer has chosen for a non-refundable rate, the hotel room must be paid upfront and the credit card will be charged by RAI Hotel Services and RAI Hotel Services will transfer the payment to the hotel.
RAI Hotel Services is responsible for all authorization processing on the booking website.
Notification of cancellations should always be made to RAI Hotel Services (business unit of RAI Amsterdam B.V.; Trade Register number 34192575) directly and can only be accepted in writing or online.
If you do not check-in on the arrival date, without written notification, your room will be released 12 noon the following day.
In case of cancellations (also in case of checking out before the confirmed departure date) and no-shows, the credit card will be charged by RAI Hotel Services, as your intermediary, according to the Cancellation Policy on the confirmation.
Notification changes should always be made to the RAI Hotel Services directly and can only be accepted in writing or online. Changes should be received before 16:00 hrs (CET) 2 days prior to arrival. Changes on reservations with arrival in the weekend or on Monday can only be processed if received before Friday 16:00 hrs (CET).

In case of questions or complaints, you always contact RAI Hotel Services as RAI Hotel Services is the intermediary between the customer and the hotel.

All changes, additional rooms or cancellations can be made online or address all enquiries, requests for additional information, changes or cancellations of room reservations directly to AIDS 2018 Accommodation Department c/o RAI Hotel Services: firstname.lastname@example.org.
