Submit a satellite symposium application

Satellite symposia provide your organization with a unique opportunity to showcase your work in a setting that will offer you exceptional exposure to the world’s leading HIV professionals.

Although they take place in the conference centre, each satellite symposium is arranged and coordinated by the organization hosting the satellite. They are available for a fee, based on the room capacity and time slot. Conference organizers review the content of each symposium to ensure that it meets the scientific and ethical principles of the conference, and they allocate slots based on the overall conference programme.

Criteria for approval include:

  • Satellites should reflect and/or support the vision and goals of the conference.
  • Satellites should address HIV/AIDS, co-infections or issues faced by individuals or organizations affected by or responding to the HIV/AIDS epidemic.
  • Satellites should reflect conference policies and goals of diversity and inclusion.

Satellite symposia will take place all day on Monday, 23 July, and in the mornings and evenings from Tuesday, 24 July, to Friday, 27 July. Please see the conference schedule here (90-minute satellites take place only in the mornings from 07:00 to 08:30).

Satellite holder benefits

Satellite holders will have the following benefits:

  • Listing in the Pocket Programme (printed) and the online programme
  • Listing in the mobile app
  • Complimentary day passes (between five and 20 passes depending on room capacity ordered).

Satellite formats

Satellites are available in different formats, depending on:

  • Length (90 or 120 minutes – 90-minute satellites take place only in the mornings from 07:00 to 08:30)
  • Room capacity (between 250 and 1,000+)
  • Time slot (regular or prime time – for 120-minute satellites only).

Please note only a limited number of rooms are available in each capacity. Bookings are placed on a first-come, first-served basis.

90-MINUTE SLOTS

90-minute satellites take place only from 07:00 to 08:30 on Tuesday, 24 July, to Friday, 27 July.

120-MINUTE SLOTS

120-minute slots are available either at a regular or prime time slot, as follows:

  • Regular slots – Monday, 23 July, at 8:00-10:00, 10:15-12:15 and 12:30-14:30, and Thursday, 26 July, at 18:30-20:30
  • Prime time slots – Monday, 23 July, at 14:45-16:45 and 17:00-19:00, and Tuesday, 24 July, and Wednesday, 25 July, at 18:30-20:30.

Please note:
  • PRICES ARE IN EUROS.
  • VAT is applicable for businesses based in Switzerland (7.7%) and other legal entities based outside the Netherlands e.g. a governmental institution or foundation (21%).
  • There is a limited number of rooms available per capacity.
  • Room capacities are estimates at this stage of planning and may vary by 15%.
  • Rooms are equipped with all the standard equipment required to run a meeting. Additional equipment (for example, microphones, lead capture devices and audience response systems) can be rented.
